Example scenarios: finance and regulation

Processes where accurate data and a full record matter as much as the signature. Each scenario is shown as an illustrative example, not a customer story.

Example scenario

  • Organisation type: Organisation with many suppliers
  • Area: Finance and procurement
  • The process: New supplier onboarding
Illustration of a new supplier onboarding process in ZeeForm

The situation today

Supplier details arrive in a Word form or a screenshot, are typed by hand into the payments system, and a mistake is discovered only when the transfer bounces. The bookkeeping certificate is kept in a separate folder and isn't linked to the supplier.

What it looks like in ZeeForm

The process consists of:

  • Bank account and withholding-tax details, validated while they're entered

  • Uploading the bookkeeping certificate as part of the same process

  • Multi-step approval before the supplier is opened in the system

What changes

The process consists of:

  • A wrong account number is caught while filling in, not after the transfer

  • All of the supplier's documents are linked to one process instead of scattered across folders

  • Structured data flows to the finance system with no re-typing

A note on these scenarios

The scenarios on this page are illustrative examples, not customer stories. They describe real processes that are common in organisations, and how they look in ZeeForm. They contain no customer names and no measured results.

More scenarios in this area

Every scenario starts with a document the organisation already has and ends as a digital process with a full record.

Application forms, declarations and identity verification

What changes: One multi-step process instead of a chain of separate forms

Declarations and regulatory documents

Request, budget approval and manager approval

What changes: An approval route by role instead of an email looking for an approver

What recurs in every scenario, whatever the field

  • An existing document becomes a process without rebuilding it
  • Validation while filling in instead of fixing afterwards
  • Signing order and reminders without manual follow-up
  • Structured data for your systems instead of a scanned file
  • A full action log on every document
